ELECTRONIC MONITORING

 

Procedures 

1.0             Electronic Monitoring

The Electronic Monitoring Procedures apply to all of District School Board Ontario North East (DSB1) (the employer) employees, temporary help agencies, volunteers, trustees, and shareholders. 

The employer may use electronic monitoring at any time to ensure the health and safety of employees and students, to evaluate employee performance, to ensure the appropriate use of employer equipment, and to ensure work is being performed during working hours. 

Information obtained through electronic monitoring may be used by the employer for the purpose of assessing overall employee performance, productivity, to ensure the appropriate use of Board equipment, and to ensure work is being performed during work hours. If, however, the employer discovers through its electronic monitoring that an employee has been accessing inappropriate websites, engaging in communications contrary to Board policies, participating in wilful misconduct, disobedience, or wilful neglect of duty that is not trivial and has not been condoned by the employer, the employer can use that information for any reason and can rely on electronic monitoring information to discipline an employee, up to termination.  

 

2.0             Privacy

All electronic communication and internet communications sent and received by users while using their DSB1-provided credentials are the property of DSB1. There is no expectation of privacy in using Board technology. DSB1 may monitor and access electronic communications, Internet history/traffic, files, documents, and overall system use. Personal or private communications transmitted on the Board’s electronic information system may be accessed, reviewed, copied, deleted, retained, or disclosed at any time and without notice. 

All information collected through electronic monitoring will be securely stored and protected. If any personal information is collected, its use and disclosure will be limited to achieve the stated purpose of its collection. The employer will adhere to all privacy and confidentiality legislation that applies to the collection, use, and disclosure of personal information obtained by electronic monitoring.

  

3.0             Informing Staff

A copy of this procedure shall be provided to all DSB1)= employees within 30 calendar days of implementation.  

A copy of this procedure shall also be provided to all new employees within 30 calendar days of the employee joining DSB1.
